This is entry-level technical work in the development, analysis, and evaluation of procedures, forms, records, communications, and operations in a state agency.
Assists in analyzing and developing written procedures by conducting special surveys and studies, and developing and designing office forms, records, and communications.
Assists in gathering and verifying organizational and procedural information.
Assists in evaluating requests for forms design, determining need and proper method of forms development, revision, or consolidation.
Confers with supervisors and agency staff in order to maintain and update the existing agency procedures manuals, forms, and electronic forms.
Assists in the conduct of surveys, method studies, system improvement studies, and analyses of all phases of the agency's programs and use of forms.
Assists in the review and evaluation of the effectiveness of agency systems/applications to ensure compliance with policies and procedures and customer needs.
Assists in the development and design of office forms, electronic forms, records, and agency organizational charts.
Assists in investigating potential areas for technological improvement.
Assists in providing technical support to software vendors regarding forms design.
Reviews printing requisitions to include all electronic pre-press functions to insure proper use of forms design standards and cost-effective printing.
Gathers necessary organizational and procedural information from agencies to be used in analyzing single page, non-complex forms.
Receives general supervision from a designated administrative supervisor; however, will work independently within established guidelines.
Performs other related work as assigned.
Introductory knowledge of business math computations, grammar, composition, and spelling.
Introductory knowledge of the federal and state laws and administrative rules and policies governing the administration of all phases of the assigned agency's programs.
Introductory knowledge of the existing procedures and practices followed in central and local office/institutional operations in order to achieve the objectives of the agency.
Introductory knowledge of current principles and practices of organization, administration, and management.
Introductory knowledge of various software packages utilized for word processing, graphics, and electronic forms design.
Introductory knowledge of electronic data processing equipment, methods, and operations.
Introductory knowledge of the principles of forms design and usage.
Ability to develop electronic forms using a forms development software application or web based program.
Ability to assist in the conduct of surveys, studies, and analyses.
Ability to prepare clear and concise procedural instructions.
Ability to work effectively with coworkers, user-agency personnel, and vendors.
Ability to follow complex instructions.
(The following requirements will determine merit system eligibility, experience and education ratings, and may be used to evaluate applicants for Missouri Uniform Classification and Pay System positions not requiring selection from merit registers. When practical and possible, the Division of Personnel will accept substitution of experience and education on a year-for-year basis.)
Four or more years of experience as a Senior Office Support Assistant with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or GED certificate.
Four or more years of technical or professional experience in public or business administration; and possession of a high school diploma or GED certificate.
(Earned credit hours from an accredited college or university which included credit hours in English, Public or Business Administration, Graphic Arts, or a closely related area may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.)
